Register report

This document aims to explain the process for viewing and interpreting the user register reports generated by SMOWL.

1. Introduction

Our monitoring service is fully integrated within the platform, and users who are going to be monitored by Smowltech must register in our system from their LMS in order to be able to track their activities within the course.

The user only needs to register once in our system. To do so, the user must access the register link provided by the entity and complete the steps.

Once the user completes the register, it is verified and validated by SMOWL. If any incident is detected in the registration, the registration will be deleted and the user will have to register again.

A register takes a maximum of 24 hours to be validated. During this time the user will be able to access the monitored activities, but the monitoring will not be validated until the user submits a correct registration.

You can customize our reports if you wish, you can use our API for communication with web services. You will find more information about this in the following article.

2. User management

When accessing the user management report we will find all the users enrolled in the course we are supervising.

In the top bar you will find the total number of users registered in the course together with the number of users who are unregistered, pending validation and correctly registered.

You can filter your users' list by Status:

Users with confirmed register.

Users with register validation pending.

Users not registered or with a rejected register.

You can always search for a specific user by using the search engine on the left side. Simply search by the name or ID of your user. It is important that the user you are looking for is within the selected group.

Also, by clicking on the download information button, you can download the general monitoring summary in CSV and PDF.

2.1. Registered user

When a user successfully registers in our tool we find the Register confirmed message to the right of the user's name.

Clicking on the user will display a tab in which we can review the photograph taken during register.

At the top of the tab, we can also find the user's details:

  • Name

  • User ID

  • Email adress

  • Register date

By clicking on any of the register images in the file, it will be enlarged to show us the selected photograph in greater detail.

2.2. Validation pending

When a user registers in our system, Smowltech takes a maximum of 24 hours to validate the user's register.

During that time we will find the register marked as Validation pending, along with an explanatory detail indicating that it is in the process of validation.

Clicking on the user will display the register form as we have seen in point 2.1. Registered user.

2.3. Not registered

When a user has been registered in your system but has not yet been registered in our system, they will be marked as Not registered.

If the user does not register prior to performing an activity to be monitored by Smowltech, the register process will be skipped when trying to access such activity. Once the registration process is completed, the register status will change to Validation pending.

2.4. Register rejected

When a user's register does not pass Smowltech's validation process, it appears in the system as a Register rejected.

Inside the profile you will find a message informing about the status of the register we will find the explanatory detail of the status.

  • Error with the pictures: Register rejected due to an error in the photographs..

  • Error with the verification image: The register has been rejected as the user does not match the photograph provided by the institution.

  • Error with the id card: The register has been rejected because the photo on the identity card could not be validated correctly.

If the user tries to access an activity to be monitored by Smowltech with a rejected register, the register process will be skipped when trying to access that activity.

Once the register process is completed, the status of your register will change to Validation pending.

To delete a user Register, contact our support team via chat; and just share the user ID.
